Your farm records
Privacy notice
Last updated
This notice describes how the GreenLeaf Pro website and Android app handle information. The farm owner decides which workers and farm records to add, and who can use the farm’s account.
Information used by the app
- Account details: your name, email address, farm name, account role, and optional profile photo or farm logo. Firebase Authentication handles your sign-in credentials and password resets.
- Farm records: information you or your farm team enter, including worker names and phone numbers, kilos picked, picking rates, advances, pay records, factories, tea purchases, tasks, and stock.
- Account administration: subscription status, payment references when recorded, and audit entries identifying changes, their time, and the account making them.
- Support messages: details you choose to send when asking for help. Avoid including passwords or unnecessary worker information.
- Technical information: our hosting and sign-in providers process connection information such as IP addresses and browser details to deliver and protect their services.
These records let the app identify your farm, calculate wages, deduct recorded advances, prepare reports, sync changes, manage access, and assist with account issues. Add only worker information needed for your farm’s records, and let workers know how you use it.
Who can access records
Farm membership and account roles control access in the app. Your farm’s authorised users can access records allowed by their role. GreenLeaf platform administrators also have technical access to administer the service and support accounts.
Google Firebase provides sign-in and cloud data storage. Netlify hosts the website. These providers process information to run their services; data is not limited to Kenya. Firebase Authentication operates from US data centres. See Firebase’s privacy information and Netlify’s privacy policy.
Records saved on your device
GreenLeaf stores offline records, pending changes, sign-in state, and preferences in browser or app storage. Reopen the app with a connection to finish syncing. Signing out does not necessarily erase cached farm data from the device.
Use a device you trust. Before clearing site storage, clearing Android app data, or uninstalling, check that pending changes have synced. Clearing local storage can remove entries that have not yet reached the server.
Photos and weather location
When you choose a profile photo or farm logo, the app resizes the selected image and saves it with the relevant account or farm record.
The dashboard’s weather card requests location access through your device or browser. If you allow it, your coordinates are sent to Open-Meteo to retrieve local weather. You can deny or revoke this permission and still use farm records. See Open-Meteo’s terms and privacy notice.
Exports and external services
Payslips, reports, M-Pesa CSV files, and manual farm backups can contain personal and financial information. Once downloaded, printed, or shared, those copies are controlled by whoever receives them. Share them only with the intended people.
Preparing an M-Pesa CSV does not send payments. You decide whether to submit it to your payment provider. Support links open WhatsApp, and Android downloads open GitHub; those services apply their own privacy terms when you use them.
Keeping, correcting, and deleting information
Farm records currently have no automatic expiry. They remain stored until removed through available app controls or a deletion request is handled. Ending a trial, signing out, or uninstalling the app does not delete the cloud account or farm records. Audit entries and previously exported copies may remain after an individual record is removed.
You can correct records using the controls available to your role. To request access to your information or account or farm deletion, contact GreenLeaf support using the number above. Include the account email or farm name and what you need; do not send your password. Identity and authority over the records need to be verified before changes are made. There is currently no self-service account-deletion button.
